Guide

Planning a hybrid event that works for both rooms

How to make sure remote attendees are not an afterthought.

Treat remote attendees as a real audience

A hybrid event has two audiences, in the room and online. If you plan only for the room, online viewers get a poor view of a distant stage.

A checklist

  • Give each remote attendee a way to ask questions
  • Assign a moderator to watch the online chat
  • Put a camera and a microphone where remote guests can see and hear
  • Decide in advance which sessions are recorded and who can watch the replay
  • Offer captions and, if needed, language tracks

Rehearse the connection

Test the venue network with the same number of devices you expect on the day. Rehearse the handoff between in-room speakers and remote guests. Plan a backup path.

Follow up

Send the replay and a short survey to everyone, in the room or online.

See Events & Registration and Live Chat & Q&A for tools that cover registration, questions and replay.
